Referral Rewards Statement

Our physician rewards program is designed to recognize and thank those who share Pattern with their colleagues, while staying compliant with all applicable guidelines. To avoid lottery or sweepstakes risks, rewards will not be determined by random drawing or chance. Instead, prizes will be based on clear, actionable criteria, such as the number of successful referrals within a set timeframe. In the event of a tie, a predetermined, non-random tiebreaker, such as the earliest verified referrals submitted, will determine the winner. Complete terms, eligibility details, and prize information will be clearly communicated in advance to ensure fairness and transparency.


Value Threshold & Best Practices for Physician Referral Rewards Programs

To ensure compliance with tax regulations, legal requirements, and professional standards, all physician referral rewards programs should adhere to the following guidelines:

Value Threshold

  • IRS Reporting Requirements: Any individual reward with a fair market value under $600 does not require the issuance of an IRS Form 1099.
  • Rewards $600 or greater must be reported to the IRS, and appropriate tax documentation must be collected and retained.
  • Pattern will maintain accurate records of all prizes awarded, including recipient information, prize values, and dates of issuance, to support compliance and reporting obligations.

Program Design Best Practices

  • Eligibility & Criteria: Definition of who is eligible to participate, including any professional or ethical restrictions relevant to physician participants.
     
    • To participate in the Pattern Rewards Program, an individual must be a physician or a physician-in-training who has personally obtained Disability or Life insurance through Pattern who is a current or active client of Pattern. Additionally, they must have referred three or more people to Pattern and those referrals must have attended a meeting with an advisor. Anyone meeting these criteria will be considered a Pattern Rounder and eligible to receive rewards under the program.
    • Specific communication on what a valid referral (e.g., completed consultations, submitted applications, verified enrollments) is. 
      • A valid referral is any individual who is eligible to receive Disability or Life insurance through Pattern, specifically, a physician or physician-in-training. Referrals must meet this eligibility criterion to count toward any rewards program. Only referrals who are verified as eligible by Pattern will be considered valid for purposes of determining program rewards. Pattern Rounders must use their referral link when referring physicians or physicians in training. Referrals will be considered valid and counted towards rewards if the eligible referral attends a meeting.
        No purchase is necessary for a referral to be considered valid.
    • Objective criteria for determining winners (e.g., number of referrals, timing of submissions, or top performers).
      • Winner Determination: Prizes and criteria may vary depending on the specific reward. The winning Pattern Rounder will be determined based on objective measures such as the number of valid referrals, the timing of submission (e.g., who submits a required number of verified referrals first or by a specific deadline), or overall performance among all participants in generating valid referrals. All criteria for each reward will be clearly communicated in advance to ensure fairness and transparency.
Tiebreaker Procedures:

  • Predetermined non-random tiebreaker rules to address potential ties.

    • In the event of a tie, the earliest verified referral submission or action item date will determine the winner. If this is not the case for a particular reward or prize for Pattern Rounders it will be clearly communicated in advance to ensure fairness and transparency.

Timing & Communication:

  • Clear communication of the program start and end dates, deadlines for referrals, and the schedule for awarding prizes.
    • All participants will be informed of the program start and end dates, the deadline for submitting valid referrals, and the schedule for awarding prizes. This information will be communicated in advance through official channels to ensure every participant understands the timeline and can plan accordingly.
    • All winners (participants) will have 14 business days to claim their prize or respond to the notification. Any winner/participant who does not respond within this timeframe will forfeit their prize, and the award may be redistributed according to program rules.

Program Rules Communication:

  • All participants will have access to written program rules outlining eligibility, referral criteria, winner determination, timelines, and prize details. These rules will be provided in a transparent and easily accessible format and made available to all participants prior to the program launch to ensure clarity and fairness via the company referral page.

Professional Compliance:

  • All rewards offered through the Pattern Physician Referral Program (Pattern Rounders) will be designed to fully comply with medical professional codes of conduct, anti-kickback statutes, and any other applicable laws or regulations. Rewards are intended strictly for recognition and engagement, and not to incentivize specific business transactions or any activity that could be construed as improper inducement. Program rules, communications, and prize structures will be reviewed by  Pattern’s Licensing and Compliance manager as needed to ensure adherence to professional and regulatory standards, protecting both participants and Pattern
  • The Pattern Physician Referral Program (Pattern Rounders) is designed solely for recognition and engagement, celebrating participants who share Pattern with their colleagues. It is not intended to incentivize specific business transactions. This will be clearly communicated in all program materials to ensure participants understand the purpose and maintain compliance with professional and regulatory standards.

Transparency & Documentation:

  • The Pattern Physician Referral Program will maintain thorough records of all referral submissions, verification processes, winner determinations, and prize distributions. Accurate documentation ensures transparency, allows for proper auditing, and provides a clear record to demonstrate compliance with internal policies, legal requirements, and regulatory standards.

  • All communications and updates related to the Pattern Physician Referral Program will be thoroughly documented. This includes announcements, participant notifications, rule updates, and prize-related correspondence. Maintaining a complete audit trail ensures transparency, supports regulatory compliance, and provides evidence of adherence to internal policies and professional standards.

State & Legal Considerations:

  • The Pattern Physician Referral Program ( Pattern Rounders) will avoid sweepstakes or lottery-style elements in states with strict promotional laws. If any chance-based elements are included, a compliant alternate method of entry (AMOE) must be provided to ensure legality. Program rules and communications will clearly outline these requirements to maintain full regulatory compliance across all jurisdictions.

    • The Pattern Physician Referral Program (Pattern Rounders) will be periodically reviewed by our Licensing and Compliance Manager to ensure that the program structure, prize values, and communication language remain aligned with current laws and regulations. This ongoing oversight helps maintain regulatory compliance, addresses any changes in professional or state-specific rules, and ensures the program continues to operate fairly and transparently for all participants.

Pattern Physician Referral Rewards Program (Pattern Rounders) – Participant Guide Rules and Regulations

Purpose: Celebrate and recognize physicians and physicians-in-training who share Pattern with colleagues. This program is for recognition and engagement only—not to incentivize business transactions or referrals of regulated services.

Who Can Participate

  • Physicians or physicians-in-training.
  • Must have personally obtained Disability or Life insurance through Pattern.
  • Must have referred 3+ eligible physicians or physicians-in-training who attend a meeting with a Pattern advisor (these participants are called Pattern Rounders). No purchase is necessary for a referral to be considered valid.
  • Must be a current client with an active life or disability policy with Pattern. 

What Counts as a Referral

  • Referred individuals must be eligible for Pattern insurance.
    • Must attend a Pattern advisor meeting.
    • Must be submitted via your Pattern referral link.
    • Only verified referrals count toward rewards.
      How Winners Are Determined

  • Reviewed and approved by Pattern Licensing & Compliance.

Rules & Communication

  • Written rules outlining eligibility, referrals, winner determination, timelines, and prizes will be provided before the program starts.
  • Pattern will keep thorough records of all referrals, verification, winners, and prizes.

State & Legal Considerations

  • The program avoids sweepstakes or lottery elements.
  • If chance-based elements exist, a free alternate method of entry (AMOE) will be available:

  • By participating, you agree to follow these rules. Pattern decisions are final.
